Not every format works well in healthcare. These are the four that most often fit:

Staff party: The classic annual moment of recognition and unwinding. Works best if you organise multiple venues or time slots so that night-shift staff can attend too. Budget: €30 to €80 per person for an evening with dinner and entertainment. Make sure there's an inclusive programme that fits the diversity of the team.

Team day or team building: Focused on strengthening collaboration within a department or team. Works well for teams under high pressure together. Pick activities that bring energy and a laugh, not activities that stoke competition. A healthcare team already has enough tension in their everyday work.

Anniversary celebration: A healthcare organisation reaching 50 or 100 years has a story to tell. That story connects people, across generations too. An anniversary event is a powerful moment to reinforce identity and culture.

Themed event or inspiration day: Focused on a specific theme: workload, vitality, innovation in healthcare. Combines a substantive programme with a lighter moment. Works well when the content is really relevant to staff, not when it's a hidden management message.

Rosters, cover and logistics: how do you solve that?

The biggest practical hurdle at healthcare events is cover. You can't free up the whole organisation at once. And you can't simply sign people up if they're on shift.

These are three approaches that work:

Spread the event across multiple moments: Run the same event two or three times on different days and times. That costs more, but it makes sure everyone genuinely gets the chance to come. A staff party on a Friday evening automatically excludes night-shift staff and people with caring responsibilities. Add a Saturday afternoon edition.

Work with roster planning: Plan the event well in advance and work with the roster planners to organise cover around the event date. Give staff at least 6 to 8 weeks' notice. Short notice periods are usually a non-starter in healthcare.

Pick a format that scales with size: If part of the team can't come, the event must also work well with a smaller group. Avoid formats that only work if everyone is present.

Healthcare organisations often work with tight budgets. That's no surprise. And it sometimes makes organising an event a sensitive subject. Is this even justifiable when there are cuts on the front line?

This is a realistic budget for a healthcare event:

  • Informal team day (half day, lunch, activity): €50 to €120 per person
  • Staff party (evening programme, dinner, entertainment): €60 to €120 per person
  • Anniversary celebration (full-day package or gala): €100 to €250 per person
