Healthcare is different, and that calls for different events

A healthcare organisation looking to organise an event runs into challenges that aren't as sharply felt in any other sector. The audience works shifts. There's always someone on the floor. Cover can't simply be freed up. And the budget is typically tighter than in the commercial sector.

But there's more. Healthcare staff carry the heaviest load day in, day out. They're there for others, always. So an event for healthcare staff isn't a party or a team day. It's a moment of real recognition. A moment that says: now we're here for you.

If that moment doesn't ring true, it feels like a tick-box exercise. If it does ring true, it's a memory people carry with them. Sometimes for years.

This article is for HR managers, team leaders and executives at healthcare organisations who want to organise an event that really lands. We cover the challenges, the formats that work, the logistics around rosters and cover, and the role of an events agency at healthcare events.

What healthcare staff need from an event

Healthcare staff are a particular audience. They're used to giving, not receiving. They're often used to lean resources and modest ambitions. And they're extremely practical: if an event takes too much faff, they drop out before it even starts.

That doesn't mean they place no value on recognition. On the contrary. But the recognition has to feel sincere. Not flashy, not overly corporate, but warm, personal and human.

This works well for healthcare staff:

Accessibility: An event that also works for people on evening or night shifts, not just for the day shift. Several moments, or a format that fits different rosters.

Informal but well-considered: Healthcare staff generally don't enjoy stiff gala dinners. But they appreciate a good venue, good catering and a programme that shows effort has gone in.

Personal recognition: A manager who names names. A moment of sincere thanks. That's more powerful than a generic speech about 'the wonderful team'.

No work-content agenda: It's a celebration, not a team meeting. No presentations about cost-cutting. No strategic talk. Just enjoyment.

Formats that work in the healthcare sector

Not every format works well in healthcare. These are the four that most often fit:

Staff party: The classic annual moment of recognition and unwinding. Works best if you organise multiple venues or time slots so that night-shift staff can attend too. Budget: €30 to €80 per person for an evening with dinner and entertainment. Make sure there's an inclusive programme that fits the diversity of the team.

Team day or team building: Focused on strengthening collaboration within a department or team. Works well for teams under high pressure together. Pick activities that bring energy and a laugh, not activities that stoke competition. A healthcare team already has enough tension in their everyday work.

Anniversary celebration: A healthcare organisation reaching 50 or 100 years has a story to tell. That story connects people, across generations too. An anniversary event is a powerful moment to reinforce identity and culture.

Themed event or inspiration day: Focused on a specific theme: workload, vitality, innovation in healthcare. Combines a substantive programme with a lighter moment. Works well when the content is really relevant to staff, not when it's a hidden management message.

Rosters, cover and logistics: how do you solve that?

The biggest practical hurdle at healthcare events is cover. You can't free up the whole organisation at once. And you can't simply sign people up if they're on shift.

These are three approaches that work:

Spread the event across multiple moments: Run the same event two or three times on different days and times. That costs more, but it makes sure everyone genuinely gets the chance to come. A staff party on a Friday evening automatically excludes night-shift staff and people with caring responsibilities. Add a Saturday afternoon edition.

Work with roster planning: Plan the event well in advance and work with the roster planners to organise cover around the event date. Give staff at least 6 to 8 weeks' notice. Short notice periods are usually a non-starter in healthcare.

Pick a format that scales with size: If part of the team can't come, the event must also work well with a smaller group. Avoid formats that only work if everyone is present.

We help you get that planning right from the start, so the event is logistically feasible and stays substantively strong. More on planning principles in our article on creating an event run sheet.

Budget and funding: healthcare events are bespoke

Healthcare organisations often work with tight budgets. That's no surprise. And it sometimes makes organising an event a sensitive subject. Is this even justifiable when there are cuts on the front line?

The answer: a good event is precisely an investment in times of pressure, not a luxury. Staff who feel recognised take less sick leave, leave less quickly and actively recruit new colleagues. That has direct financial value.

This is a realistic budget for a healthcare event:

  • Informal team day (half day, lunch, activity): €50 to €120 per person
  • Staff party (evening programme, dinner, entertainment): €60 to €120 per person
  • Anniversary celebration (full-day package or gala): €100 to €250 per person

Also look at alternative funding routes: Dutch occupational-safety budget (Arbo), grants for vitality initiatives or co-funding via the works council (OR) budget. We help you build an event with maximum impact within the available budget.

Why an events agency makes the difference at healthcare events

Organising healthcare events in-house is possible, but it costs huge internal time. HR staff and team leaders in healthcare have no time to spare as it is. Running an event 'on the side' leads to under-staffed evenings, poorly informed colleagues and a feeling of… yes, tick-box work.

We take that load off you. From the first conversation about what you want to achieve, to the run sheet and venue choice. From the catering and the programme to the coordination on the day itself. You do what you do best: care for people. We do the rest.

We've organised events for healthcare organisations of all sizes. From a small team gathering for a home-care team of 40 people. To an anniversary gala for 600 staff at a large institution. The sector knows us. We know the sector.
