The space needed per person depends on the layout type. For a theatre layout you need 0.75-1 m² per person. A classroom layout requires 1.5-2 m² and a dinner at round tables 2-2.5 m². A standing reception is the most efficient: 0.5-0.75 m² per person. For a programme with a stage and dance floor, calculate 2.5-3 m².
Always add 15-20% on top for walkways, cloakroom, technical setup and emergency exits. The capacity in venue brochures is almost always the maximum standing occupancy. Always ask about the capacity for your layout type.
