A good pitch document for an event agency contains, at minimum:

  • Context about the organisation and culture
  • The occasion and the goal of the event
  • Date and venue preference
  • Audience (who, how many, background)
  • A description of the desired programme (or what you leave open)
  • The available budget as a range
  • The preconditions (region, restrictions, fixed suppliers)
  • The selection process (timeline, how many agencies, when the decision)

The more concrete the brief, the more relevant the proposal.
