Allow at least 16 to 20 weeks' lead time for a staff trip. The first phase (4-6 weeks) is strategy: defining the goal, selecting destinations, planning site visits. Phase two (4-6 weeks) is about the programme: selecting activities, booking hotels and restaurants, arranging transport. The final phase (6-8 weeks) is operational: participant registration, room allocation, communication to staff, travel documents and a detailed run sheet. For groups above 150 people, we advise starting six months ahead.
