How do you evaluate a potential event venue?

A good venue choice makes or breaks the event. Work with a fixed checklist. Accessibility: public transport within 15 min walking distance, parking space for 30 percent of guests, taxi reachability. Capacity: does the hall size match the event type (theatre setup, cabaret, banquet)? Hall layout: block shape, separation between reception, programme and networking lunch? Atmosphere: does the architecture fit your brand and concept? AV and tech: on-site or rental, fibre internet, sound tested at full capacity? Catering: own kitchen or external caterer allowed, price bracket, dietary flexibility? Daylight: windows or black-out possible for presentations? Climate: aircon working at full capacity, heating for wintertime? Toilets: at least 1 per 30 guests, wheelchair-accessible? Safety: emergency exits, emergency response, permits in order? Visit the venue at least once in person, on a comparable time of day to your event. Provide test photos to leadership and speaker so they can prepare in advance.
