Why wellbeing is more than a gym membership

More and more companies are investing in the health of their people. And rightly so. Absenteeism costs are rising, the labour market is tight, and workplace happiness is high on the agenda. But too often, that investment stops at a gym membership or a basket of fruit on Mondays.

Organising an employee wellness event goes a step further. It is a deliberate moment when you, as an organisation, show: we take the wellbeing of our people seriously. Not as an obligation, but as a conviction. Not as an HR tick-box exercise, but as an experience.

The beauty of a wellness event is that it does two things at once. It gives people practical tools to work in a healthier, more energised way. And it strengthens a sense of connection, because you do it together. You move and learn side by side. That is more powerful than any wellbeing programme.

The business case for wellbeing

An average day of sick leave costs an employer between €250 and €400. At a company with 200 staff and a 5% absence rate, that adds up to hundreds of thousands of euros a year. Every percentage point you reduce that rate translates directly into money saved.

But wellbeing goes beyond reducing absence. Research by TNO shows that healthy, energised employees are more productive and stay longer. They call in sick less often. They deliver more. And they stick around.

Organising a wellness event is therefore not a cost. It is an investment with a measurable return. Companies that pay structural attention to wellbeing, and make that visible through events, score better on employee satisfaction, employer brand and retention.

Ask yourself: what do you want employees to do differently afterwards? If the answer is concrete (sit less, sleep better, move more, recognise stress), you have a wellness event with impact.

Format and content: from sporty festival to mindfulness day

There is no single way to organise a wellness event. The format depends on your audience, your company culture and what you want to achieve. A few approaches that work:

Wellness festival: a day with various workshops and activities that participants choose from. Think bootcamp, yoga, nutrition workshops, sleep coaching, stress management and breathing techniques. Works well for large groups (100+).

Team wellness challenge: a sporty programme in which teams take each other on. Not to win, but to move and laugh together. Combine physical challenges with mental ones.

Wellbeing retreat: a quieter format focused on mental health. Mindfulness, walking coaching, journalling, conversations with a psychologist or coach. Suits organisations where workload or burnout is a theme.

Healthy workplace day: a day at your own venue with pop-up activities. Smoothie bar, ergonomics check, lunchtime walk, mini massage, health screening. Low-barrier and immediately useful.

The best wellness events combine movement with learning and connection. They offer choice and are inclusive.

Venue and atmosphere: where wellbeing comes to life

The venue of your wellness event shapes how it feels. A day about health and energy does not belong in a stuffy conference centre with fluorescent lighting. Choose a place that reinforces the theme.

Outdoor venues work particularly well for wellness events. An estate with sprawling gardens, a beach pavilion, a wooded setting or a sports park: in those places nature does half the work. Fresh air and daylight set the tone, alongside the space to move.

Does it have to be indoors? Then choose a venue with plenty of light, high ceilings and flexible spaces. You will probably need several separate rooms for parallel workshops. And one central spot where everyone gathers for the opening and closing.

Décor at a wellness event does not need to be over the top. Think natural materials, plants and calming colours. A smoothie bar at the entrance. Soft ambient music. The feeling should be: this is where I get to recharge.

And do not forget the catering. Nothing undermines your wellbeing message faster than a deep-fried croquette roll for lunch. Choose fresh, healthy catering that fits the theme.

Practical: budget, group size and timing

Organising a wellness event can range from €50 to €200 per person, depending on the format. A day at your own venue with hired trainers sits at the lower end. A fully produced wellness festival at an external venue with multiple workshop leaders and catering sits at the upper end.

On group size: wellness events work at any scale, but the format has to fit. For 30 people you can run an intensive workshop or retreat. For 100 to 300 people a festival format with choice moments works. For 500+ you need a robust production to keep it personal.

The best moment for a wellness event is the start of the year (riding new-year energy), spring (outdoor movement becomes appealing) or September (the post-summer restart). Avoid December, when diaries are full and the focus is on Christmas.

On lead time: count on 8 to 12 weeks. You need time to develop the concept and book workshop leaders. Plus arranging the venue and communicating internally.

Why an agency takes the wellness day to the next level

Organising a wellness event in-house is possible, but the risk is that it feels like an HR initiative rather than an experience. The moment employees feel they 'have to' attend, you lose them.

An events agency brings two things that are often missing in-house: creative distance and production experience. We do not look at your organisation through the lens of HR policy, but through experience. We think about what people feel when they walk in, and how you build the energy from there.

At Live Impact we combine the substance (which themes, which experts) with the emotion (how it feels, what the storyline is). You feel the difference. A wellness day we produce does not feel like a mandatory programme. It feels like a gift.

Ready to invest in your team's wellbeing?

Organising a wellness event is a signal. It says: we believe that healthy, energised people make the difference. And we are willing to invest in that — not with a memo, but with an experience.

What forms of staff events are there?

Staff events come in many forms. Think of the staff evening, the kick-off or strategy day, and the team building or team day. Other commonly used formats are the family day, the vitality or wellbeing day and the anniversary event.

The choice of format depends on the goal. Do you want to celebrate, connect, inform or activate? That determines the format and with it the venue, the programme and the tone of the evening.

How much time do you need to organise a staff event?

For a staff event for 50 to 200 people, expect 6 to 12 weeks of preparation time. The first weeks go into determining the format, date and venue choice. Then come programme development, catering, communication to staff and technical production.

For larger events (500+) or special venues, 16 weeks is a more realistic standard. Don't underestimate the internal communication: invitations, sign-ups and updates take more time than you think. An agency like Live Impact takes the full project management off your hands, so you can concentrate on your own role.

What does organising a staff event cost?

The costs of a staff event range roughly between €50 and €200 per person, depending on format, venue, catering and programme. An informal team day with an activity and lunch is already around €50 to €75 per person. An evening programme with dinner, entertainment and venue hire runs towards €120 to €200 per person.

For a fully catered event for 150 staff you quickly count on a total budget of €15,000 to €30,000. The big variable is the venue: your own company grounds are much cheaper than an external event venue with exclusive catering. Live Impact always provides a transparent budget breakdown in advance.

What is the difference between a staff event and a staff party?

A staff party is primarily aimed at celebrating and relaxation. Think of an annual party night. A staff event has a broader scope. It can be a party, but also a kick-off, a team day, a vitality day or an internal conference.

The distinction lies in the intention. A staff party motivates through fun. A staff event connects fun with an organisational goal: strengthening culture, rolling out strategy, mutual connection or appreciation. For both formats: a strong experience makes the difference. That is the difference between an evening everyone quickly forgets and a moment that lingers for weeks.
