A client appreciation day isn't a party — it's an investment

Clients, suppliers, partners: they largely determine what your business can achieve. Yet you often let the relationship hang on emails, quarterly check-ins and chance meetings at trade shows. A client appreciation day breaks that pattern. You give clients your full attention as people.

Live Impact organises client appreciation days for companies of 20 to 500 guests across the Netherlands. In over 25 years we've built hundreds of client events. From small-scale dinners for a select group to large outdoor experiences for an entire client base. The most successful are always the ones where clients truly took centre stage.

A client appreciation day costs an average of €10,000 to €60,000, depending on scale and set-up. The return is hard to measure in numbers. But every account manager knows what a good conversation in a relaxed setting does for a business relationship.

What's the purpose of a client appreciation day?

A client appreciation day has a sharp purpose: deepen the bond with your clients beyond the transactional context. No pitch, no sales conversation, no product presentation — just a shared experience that shows who you are as a company and as people.

That can take many forms: an exclusive dinner in a special setting, an outdoor activity where you achieve something together, or an inspirational programme followed by informal drinks. The format depends on your clients: who they are and what they value. What you want them to feel when they go home matters too.

The difference with a client event is selectivity. A client appreciation day is typically smaller and more personal: you don't invite your entire client base, but a select group. That makes the interaction deeper and the memory stronger. More on larger client events →

Choose your format: dinner, experience or programme day?

There's no standard format for a client appreciation day. What works depends on your audience, your budget and your ambition. These are three popular formats:

Exclusive dinner: this format suits 15 to 60 clients, with a special venue, a strong culinary programme and personal attention. The mood is small-scale and there's room for honest conversation. This format works strongly for high-value clients where the personal bond makes the difference.

Outdoor experience: this format suits 30 to 200 clients. Think of an outdoor activity such as sailing, golf, a culinary cycling route or a sporting event. Experiencing something together creates conversation topics that get brought up years later. This format works for a broader client base where you don't want to be too formal.

Programme day: this format suits 50 to 500 clients, with inspirational sessions, a keynote speaker, tours and workshops, followed by drinks and dinner. This format combines valuable content with informal contact and suits knowledge-intensive sectors.

Venue and experience: the details that make the difference

At a client appreciation day, the venue is a message in itself. It says: this is how we think about quality, atmosphere and attention. A special venue strengthens the feeling of appreciation you want to give your clients. Think of a historic building, an exclusive restaurant or a unique outdoor location.

We select venues based on the concept and the audience. For a tech company with innovative clients, a modern industrial space is stronger than a classic conference hotel. For a family business with long-standing clients, a warm, personal setting fits better. The venue isn't decoration. It's a deliberate choice.

On top of that, the programme on the day itself is decisive. Make sure there are moments where clients can truly speak with you and with each other. Preferably in a setting that facilitates that conversation, not in a meeting room. The best client appreciation days have few formal moments and plenty of room for the unplanned great conversations.

Costs and practical planning

A client day or client event costs around €350 to €500+ per person excl. VAT for 250 to 500 guests. For 500 to 1,000 guests you can expect around €300 to €450+ per person. All amounts exclude VAT, including venue, catering, entertainment and production.

A client event is always premium: guests are clients or partners you want to surprise, not employees you want to reward.

Why bring in Live Impact for your client appreciation day?

Organising a client appreciation day where everything is right is a craft of its own. From venue and programme to timing, catering and atmosphere: it all has to fit. It's all we do. And it shows in the result.

We start with a brief. We discuss who your clients are, what you want them to feel and what the budget is. From there we build a concept that fits exactly. It's not a ready-made programme, but a day that's yours.

We arrange everything: venue, catering, entertainment, invitations, run sheet and the event manager who runs the day. You focus on your clients. We make sure the setting is right. That's the division of roles that delivers the best client appreciation days.

What is the difference between a client day and a customer day?

A client day is aimed at a broad group of external stakeholders: customers, partners, suppliers and other relations. A customer day focuses exclusively on existing customers and usually has a stronger commercial component — product updates, strategic conversations, upsell moments. A client day has more the character of a networking moment and experiential event; the commercial agenda stays more in the background. Both formats work best when guests feel the day is really made for them.

How do you make a client day unforgettable?

A client day becomes unforgettable when three things are right. One clear concept that connects the day from start to finish. A choice of venue that surprises. Entertainment that encourages informal contact.

Three practical tips: invite clients personally through a handwritten note or a personal message from the director. Make sure there is a substantive anchor in the programme that acts as a conversation starter. Choose entertainment that brings people into conversation with each other rather than making them passive spectators. The best client days are the ones where guests say: that was better than I expected.

How many guests do you invite for a client day?

The ideal size for a client day is between 50 and 250 guests. Below 50 you lose the networking dynamic that makes the event interesting for clients. Above 250 it becomes harder to guarantee personal contact and the day feels bigger and more impersonal. For larger client networks it works better to split the client day. Do that across two editions a year or into specific audience segments. That keeps the event manageable and preserves the intimacy.
