Practically speaking, you check: capacity, accessibility, parking, catering options and technical facilities. But don't forget the feeling. How does it feel when you walk in and what does the space do to you?

Entertainment that makes your evening

Entertainment is the heart of your staff party. It determines the energy, the atmosphere and the memories people take home with them.

Think beyond just a band or DJ. Consider a strong opening that sets the tone, interactive moments that connect people, a live act that lifts the room or a small-scale musical moment that lands.

Budget and the work-related costs scheme

A staff party costs roughly €250 to €350+ per person ex. VAT at 250 to 500 guests. For 500 to 1,000 guests, expect roughly €225 to €325+ per person. For 1,000 to 2,000 guests, roughly €200 to €300+ per person. Above 2,000 guests, roughly €150 to €200+ per person. All amounts ex. VAT, including venue, catering, entertainment and production.

Good to know: via the work-related costs scheme (WKR), employers can organise a staff party in a tax-efficient way. The free margin is a percentage of your total wage bill. A party at the workplace usually falls under the targeted exemption and is therefore untaxed.

The planning: when do you start?

Start the organisation at least three to six months in advance. Popular venues and artists are booked up quickly, especially in autumn, the high season for staff parties.

A good plan runs in phases. First the concept and the date. Then the venue and the main suppliers. Then the programme in detail. And finally the communications to your team, because a good invitation already builds anticipation.

How much extra budget does a theme cost for a staff party?

Count on 15% to 40% on top of a basic party, depending on how far you carry the theme.

A light theme (colour scheme, fitting music, theme cocktail) costs 15-20% extra. A fully developed theme sits between 30% and 40% extra. For a party of 200 people, that means roughly 8,000 to 20,000 euros extra.

Nee, verplicht verkleden werkt zelden. Je creëert direct een groep die afhaakt omdat ze zich ongemakkelijk voelen of geen tijd hadden.

Which theme suits which type of company?

That depends on what you want to achieve and what your culture can handle. For a structured organisation, a concept theme often works well (Mad Men, Casino Royale). Creative companies flourish with world themes (Marrakech, Tokyo by Night). Teams that have just been through a change benefit from a time-travel theme that celebrates connection.

Important: don't choose the theme you like. Choose the theme that takes your colleagues out of their comfort zone in a fun way.
