The basics: building categories and suspense

A good award show doesn't begin on the night itself, but weeks beforehand. The run-up is an essential part of the experience. Announcing nominations and opening voting rounds: these are the moments when the award already starts to come alive within the organisation.

Choosing your categories is the first critical decision here. Too many categories, and the ceremony loses focus. Too few, and people don't feel represented. The rule of thumb: pick 3 to 8 categories that match the company's values or strategic priorities. That way the award show immediately makes something clear internally about what counts.

Venue and production: suspense needs a stage

An award show needs a venue where you can build the suspense carefully. That isn't just any hall. The space has to be dark enough for the lighting and any special effects, big enough for all your guests, and acoustically sound for clear audio. A conference hotel rarely works as well as an industrial building, a theatre or a studio-style space.

In production terms, an award show makes different demands than a staff party or conference. You need a good stage and a solid lighting plan that puts the winners in the spotlight. A projector or LED screen for the nomination films is part of that too. And a sound engineer who manages the moments of silence just as deliberately as the music.

Budget and planning: what do you need?

An award show costs roughly €400 to €900+ per person ex. VAT for 250 to 500 guests. For 500 to 1,000 guests, reckon on around €300 to €800+ per person. All amounts exclude VAT and include venue, catering, entertainment and production.

An award show is production-intensive: lighting, sound, video, presentation and a professional crew. That's why the prices per person are higher than for a regular party.

An award show has a ceremony at its core: the presentation of prizes, the nominations, the suspense and the winner. How do you make an award show exciting and festive?

An award show becomes exciting by building the nominations well. Work with a maximum of three to five nominees per category. Reveal the winner only at the very last moment. And bring in a host who deliberately raises the tension. The festive feel comes from production. Lighting that changes with each category, music that accompanies winners to the stage and confetti at the announcement. Three practical tips. Have nominees record a video message as a teaser. Include a People's Choice Award where the audience gets to vote. And always end with the most prestigious award as the finale.

How long does a corporate award show last?

A corporate award show typically lasts two to three hours, including reception. The ceremony itself (the actual presentation of prizes) usually runs 60 to 90 minutes. More than 10 to 12 categories make the show too long; the audience's attention drops noticeably. Schedule at least 45 minutes of networking time after the ceremony. The ideal structure: 30 minutes reception, 90 minutes ceremony, 45 minutes after-drinks. For a combined dinner plus award show, expect a total of four to five hours.
