Start with a floor plan of the venue. Draw in the walking routes for the three main moments: arrival, break and departure. Mark the bottlenecks: narrow corridors, stairs, doors that only open one way. Look at where large groups come together at the same time: after the plenary hall, at the buffet, at the cloakroom. Calculate whether the space can handle that flow. Add signage at decision points: at junctions, forks and hall doors. Discuss the routing in the team briefing. Make sure everyone knows where guests are directed in the event of deviations.
