How much does event insurance cost, and why do you need it?

Event insurance costs an average of between 150 and 2,500 euros per event, depending on the type of event, the number of attendees and the cover you need. Live Impact is an events agency from 's-Hertogenbosch that has been organising business events for more than 20 years, from intimate team-building days for 20 people to conferences for 2,000 attendees. With every event we organise, we advise on the right insurance.

Why does that matter? Picture this: you organise an anniversary party for 300 employees. The caterer cancels three days out. The venue has water damage. Or a guest trips over a cable and breaks a wrist. Without insurance, you as the organiser pick up every bill. That can easily run into tens of thousands of euros.

Event insurance absorbs those risks. You pay a relatively small premium for the certainty that unexpected setbacks will not blow your budget. For business events, that is not a luxury but a basic requirement. Most professional venues and clients even demand it.

The premium depends on four factors: the type of cover you choose, the size of your event, the venue and the duration. A one-day company party for 100 people can be insured from around 150 euros. A multi-day festival with 1,000 attendees and complex technical production can push towards 2,500 euros. In this article we line up all the costs, types of cover and saving tips.

Which types of event insurance exist?

There are four main types of insurance for business events. The choice depends on your risk profile and what your organisation already has covered through existing policies.

Public liability insurance (AVE) covers damage to third parties. Think of a guest who slips, a server who spills red wine on a designer dress, or damage to the venue. Premiums start around 100 euros for smaller events and rise to 500 euros for larger gatherings. This is the most common and often mandatory insurance.

Event cancellation insurance reimburses the costs you have incurred if you have to cancel the event. That can be due to extreme weather, a pandemic, strikes or the unexpected loss of an essential component. Premiums are typically between 3% and 8% of the total event budget. For an event of 50,000 euros you therefore pay between 1,500 and 4,000 euros for cancellation cover.

Equipment insurance protects hired or owned equipment: sound systems, projectors, set pieces, furniture. Especially relevant if you work with expensive AV equipment. Premiums range from 75 to 400 euros.

Weather insurance is specifically for outdoor events. You receive a pay-out if rainfall exceeds an agreed threshold. The premium depends heavily on the season and venue; reckon on 200 to 1,000 euros. Read more about every type of cover in our overview article →

How is the premium for event insurance calculated?

Insurers look at five variables to set your premium. You can partly influence those variables, and that is exactly where the saving opportunities sit.

Number of attendees. More people means more risk. A company drinks reception for 50 colleagues is easier to insure than a festival for 2,000 guests. The turning point often sits around 250 attendees: above that, premiums rise more steeply.

Type of activities. A sit-down dinner is low risk. An event with sport, water, heights or fireworks is classified as higher risk. Insurers want to know exactly what is planned. The more specifically you describe it, the better the premium matches your actual risk.

Venue. A well-regarded events venue with its own first-aid team and security scores better than a field with no facilities. The venue's own insurance can also provide overlap, which lowers your premium.

Duration. A four-hour evening event is cheaper than a three-day conference. Each extra day usually adds 30% to 50% on top of the base price.

Insured amount. The higher the maximum pay-out you want, the higher the premium. Choose realistically: a liability cover of 1,000,000 euros is standard for business events, but 2,500,000 euros is wise for larger gatherings with external guests.

Real-world examples: what do you pay for which type of event?

To make it concrete, here are four scenarios from the world of business events. The amounts are indicative and based on common premiums at Dutch insurers in 2026.

Scenario 1: Company drinks reception for 80 people at an external venue. Public liability cover up to 1,000,000 euros. No special activities, just catering and a DJ. Premium: around 125 to 175 euros. The venue often already has its own policy, so always check what is covered there first.

Scenario 2: Staff party for 250 employees with live entertainment. Public liability plus equipment insurance for hired AV gear worth 15,000 euros. Premium: around 350 to 600 euros. The equipment cover adds 100 to 200 euros on top of the standard liability policy.

Scenario 3: Anniversary party for 500 guests with an outdoor programme. Full cover: liability, cancellation (budget 75,000 euros) and weather insurance. Premium: around 1,200 to 2,000 euros. The cancellation risk carries the most weight in the premium here.

Scenario 4: Multi-day conference for 1,200 delegates. Liability, cancellation (budget 120,000 euros), equipment and additional cover for speakers who pull out. Premium: around 2,000 to 3,500 euros. At conferences, cancellation insurance is essential because the costs are high and keynote speaker drop-outs are a genuine risk. Read more about budgeting for events →

Five ways to save on your event insurance

You do not have to pay top dollar for good cover. With these five strategies you bring the premium down without giving up protection.

1. Bundle multiple events on a rolling annual policy. Do you organise four or more events a year? Then a rolling annual events policy is almost always cheaper than separate insurance per event. Some insurers offer up to 30% off with an annual policy.

2. Raise your excess. Accepting a higher excess (e.g. 500 euros instead of 100 euros) lowers your premium significantly. This is sensible if your organisation can absorb small losses itself.

3. Check the venue's policy. Many professional event venues have their own liability insurance covering part of the risks. Always request a copy of their policy before taking out your own cover. Double-insuring is wasted money.

4. Be specific in your risk description. The vaguer you are about your programme, the broader and pricier the insurer will rate your risk. Supply a detailed run sheet. That shows professionalism and lowers your premium.

5. Hire an events agency. Agencies like Live Impact work with regular insurance partners and know the market. We know which types of cover you really need and which are surplus. That saves not just on premium, but also hours of legwork.

Why an events agency simplifies your insurance process

Sorting out insurance is not the reason you organise an event. It is admin that eats time and that you, as the organiser, are not a specialist in. Nor should you have to be.

A professional events agency knows the insurance market. We know which cover you need for which type of event. Which risks are real and which theoretical. Which insurer offers the best terms for business events. That saves you not just money on the premium, but above all time and uncertainty.

At Live Impact, insurance is part of our standard process. As soon as the concept is set and the venue is chosen, we map the risk profile. We advise on the right cover, arrange the policy through our partners and make sure all documentation is ready for the venue and any permits.

What that means for you: one point of contact for everything. From concept to confetti, including the less glamorous but equally essential matters like insurance, permits and safety plans.

Frequently asked questions

  • Risicoverhogende elementen zoals vuurwerk of watersport

  • Lagere premies (15-30% besparing)
  • Snellere afhandeling en claims
  • Deskundig advies over de juiste dekking
