Team challenge: not strictly sport, but a mix of physical challenges that also appeal to non-athletes. Building, navigating, creative tasks under time pressure. More inclusive than pure sport.

Tournament: one sport, one day. Football, volleyball, padel, tennis. Small and contained, but powerful when the competition is set up well.

Walking or cycling event: moving through nature, in small teams. Quieter in tone, good for reflection and conversation. Popular when the team is already high on energy.

Sports day with guest appearances: a well-known athlete giving a masterclass, or an inspirational session tied to the sporting activity. That adds depth and a story to tell afterwards.

Venue and logistics: outdoor, indoor or hybrid

A sports event puts different demands on the venue than a conference or party. Space is the first factor. You need outdoor or indoor room that fits the activities you've planned.

Outdoor works best in good weather and with flexible planning. Country estates, sports pitches, beach venues and parks are all suitable, as long as you have a weather plan. Rain isn't a reason to cancel a sports event, but you do need a backup.

Sports centres and indoor halls are safe in every season. They offer professional infrastructure, changing rooms, catering and space for several activities at once. The downside is the sometimes slightly sterile atmosphere.

Multifunctional outdoor venues combine the best of both worlds. Think of country estates with rooms, festival sites or holiday parks: outdoor sport, indoor eating and meetings.

Programme: competition, connection and fun

The build of a sports event sets the mood. A bad build turns sport into a chore. A good build turns an ordinary day into one people are still talking about a year later.

Start with a proper welcome. Make sure everyone knows what's about to happen. Divide teams in advance: at random, or deliberately mixed to shake up departments. Give each team a name, colour or identity. It sounds small, but it works.

Play with the competition balance. Award points for winning and for cooperation, atmosphere and sportsmanship. That way the strongest athlete isn't the winner — the strongest team is.

Build in rest moments. Between activities: a lunch, a short presentation, an inspiration moment. That keeps the energy up for the second half.

Practical: participation, safety and catering

Not everyone can or wants to play sport. Make participation as inclusive as possible by combining different activities. Roles like referee, cheerleader or organiser are welcome too. Ask up front about injuries or limitations.

Safety: a first-aid post is mandatory at every sports event. For extreme sports or large groups, arrange professional first-aid cover. Think about insurance for the day too.

Catering: light and energy-rich before the sport, a recovery meal afterwards. Not an elaborate three-course dinner halfway through. That kills the energy. Plenty of hydration, even if the weather is cool.

Kit: a team shirt or vest creates instant atmosphere and strengthens team identity. A well-designed shirt gets worn. A generic vest disappears into a drawer.

Planning: give yourself 3 to 4 months for a sports event with more than 100 participants. Venue, catering, activities, sports kit, first aid: each separate supplier you'll want to lock in on time.
