Why event technology is more than a gimmick

Event technology has a reputation problem. Too often it is brought in as a trick: a VR headset on a trade-show stand where nobody stays longer than thirty seconds, an LED screen that looks impressive but adds nothing to the story, an app nobody downloads.

That is not a technology problem. That is a concept problem. Innovative event technology works when it serves a purpose, when it creates a moment that would not have been possible without that technology, and when it amplifies the experience instead of distracting from it.

Over the past few years, technologies have emerged that are reshaping the events world. Drone shows are replacing fireworks with programmed light choreographies. Holograms put speakers on stage who are physically on the other side of the world. Augmented reality layers digital content over physical space. Immersive installations make visitors part of the story.

Drone shows: spectacle in the sky

A drone show is one of the most impressive visual experiences you can deliver at an event. Tens to hundreds of drones fly in formation and together form images, logos, text or animations in the sky. The effect is breathtaking, as long as the audience is not expecting it.

Drone shows work best as the opening or closing moment of an outdoor event. A corporate festival, an anniversary party on your own grounds, a product launch in the open air. The moment lasts five to fifteen minutes and leaves an impression that lingers for weeks.

The practicalities: a drone show requires an outdoor location with enough space and no flight restrictions. The permit application must be submitted at least six to eight weeks before the event. Costs range from €8,000 to €30,000. That depends on the number of drones (50 to 300) and the complexity of the choreography. Custom animations with your company logo or a specific image cost more than standard formations.

The cost of a hologram presentation varies. A simple LED fan display costs €5,000. A full-size stage hologram with custom content costs €25,000 to €60,000. Producing the content (the 3D model, the animation, aligning it with the story) is often the most expensive part.

A note: holograms work best in controlled lighting conditions. In a darkened room the effect is spectacular. In a bright space with lots of daylight it loses its power to convince. Choose the application based on the location and the moment in the programme.

Augmented reality and immersive tech

Augmented reality (AR) adds digital elements to physical reality. At events that means: visitors point their phone at an object, wall or floor. They see something that is not really there. A 3D product demo that appears to grow out of a table. An interactive floor plan that shows you where to go. A hidden message you can only unlock with AR.

The threshold for AR is lower than for holograms or drone shows. You do not need special hardware: visitors use their own phone. The cost of a bespoke AR experience sits between €3,000 and €15,000, depending on the complexity of the 3D model and the interaction.

Immersive installations go one step further. Think of a space fully transformed by projection mapping. Walls, floors and ceilings become a moving canvas that immerses you in a story. Or a sensor-driven installation that responds to visitors' movements. These applications are more costly (€15,000 to €50,000+) but deliver a wow moment that is impossible to replicate with traditional means.

The key is always: the technology must serve the story. An AR experience that stands apart from your event concept feels like a gadget. The same AR experience that deepens the concept becomes a highlight.

When yes and when not?

Not every event needs innovative technology. And not every technology fits every event. The choice depends on three factors: your goal, your audience and your budget.

Bring in innovative tech when you need a surprise moment that conventional means cannot achieve. The opening of a new head office with a drone show that conjures your company logo into the sky. A product launch where the product appears as a hologram before being physically revealed. A conference where an international speaker presents via hologram because they cannot be there in person.

Do not use it when the budget comes at the expense of the basics. A drone show above an event with sub-par catering and the wrong venue is a misplaced priority. Technology is an amplifier, not a substitute. The basics must be right: concept, venue, programme, catering, guest list. Technology turns a good event into a special one, but it will not rescue a bad event.

Consider the audience too. Tech-affine groups (tech companies, start-ups, younger audiences) are more receptive to innovative applications. More conservative audiences may value a tight concept and personal attention more than a hologram. Know your audience and choose based on what moves them.

Budget as a guide: spend a maximum of 10 to 15% of your total event budget on innovative technology. At an event of €100,000 that is €10,000 to €15,000. Enough for a strong AR experience or a compact hologram moment. With a budget of more than €250,000, a drone show or a full immersive installation comes into view.
