Finding the right event venue

The venue is the stage of your event. It determines the atmosphere, the experience and even the success of your programme. The wrong choice? Then guests feel uncomfortable, accessibility becomes a problem or the space doesn't suit your concept. Finding the right event venue is therefore one of the first decisions worth getting right.

A good event venue does exactly the opposite. It strengthens your story and makes your programme more powerful, so that guests feel welcome from the first moment. Whether you're organising a conference, a gala or a kick-off: the venue is always the foundation.

Yet we see that many organisations underestimate the venue choice. They choose on price, on availability or on gut feeling, while a strategic venue choice lifts your event to a higher level.

Step 1: Set your criteria before you start searching

Before you start comparing venues, you need to know what you're looking for. Start with a clear list of requirements. Think about the number of guests, the type of event, the desired atmosphere, your budget and practical matters like accessibility and parking.

Other important criteria are the availability of technical facilities (sound, lighting, projectors), catering options (in-house catering or free choice?) and the flexibility of the space. Can you adapt the layout to your programme? Is there room for breakout sessions?

Tip: make a scoring matrix in which you compare venues against your most important criteria. That makes the choice more objective and stops you deciding on emotion.

The five pillars of a strong event venue

Accessibility. Choose a venue that's easy to reach by car and public transport. Ideally within five minutes of a motorway exit and close to a station. Enough parking spaces are essential.

Capacity and layout. The space has to suit your group size. Too big feels empty. Too small feels cramped. Look for a venue you can lay out flexibly for plenary moments and smaller sessions.

Atmosphere and feel. Does the venue suit your concept and your brand? An industrial venue works perfectly for an innovative kick-off, but less so for a chic gala.

Facilities and technology. Good Wi-Fi, professional AV equipment, climate control and an in-house kitchen aren't a luxury but basic requirements.

Service and flexibility. How willing is the venue team to think along? Can you set up early? Also watch out for restrictions around noise or finishing times.

How much does an event venue cost?

The cost of an event venue varies enormously. From €500 for a simple meeting room to €25,000 or more for an exclusive festival venue. The price depends on factors like size, location, season and what's included.

Note: the hire price is rarely the whole story. Many venues charge extra for technology, cleaning, security and catering. Always request an all-in quote so you compare like with like. Hidden costs can increase your budget by 15 to 25 per cent.

Common mistakes when choosing a venue

Choosing on price alone. The cheapest venue is rarely the best choice. If the atmosphere isn't right or the facilities fall short, you'll end up paying more to compensate.

Not visiting beforehand. Photos lie. Always visit a venue in person before you book. Pay attention to details like acoustics, natural light and state of maintenance.

Forgetting to think about logistics. Where do suppliers load in? Is there a goods lift? Also allow enough time for build-up and breakdown.

Having no plan B. Especially at outdoor venues, a wet-weather plan is essential.

Booking too late. Popular venues are sometimes fully booked a year in advance. Start your search in good time.

How much time do you need to organise a corporate event?

Start at least three months ahead. For large events (300+ guests, complex production), six months is more realistic.

The organisation runs in four phases. First lay the foundation (12 to 10 weeks before the date), then concept and partners (10 to 6 weeks). Then the detailed work (6 to 3 weeks) and finally execution plus aftercare in the last 3 weeks. Popular venues and artists are quickly booked up in autumn.

How do you write a good brief for a corporate event?

A good brief contains at least six elements. They are: the objective, the target audience, the number of guests, the preferred date, the budget and prerequisites (venue, dietary requirements, travel time).

Write it on a single A4. Share it with your project team and your agency. Without a brief, everyone works from assumptions. That delivers a messy result.

What is the difference between a corporate event and a staff party?

A staff party is specifically for staff: internal, familiar, and the mood is looser. A corporate event is broader and can be a staff party, but also a conference, kick-off, anniversary or client event.

The difference lies in the approach: a staff party is about celebrating and connecting. A corporate event can also serve strategic goals, such as knowledge sharing, brand positioning or culture change.

What does it cost to organise a corporate event?

A corporate event costs around €200 to €500+ per person ex. VAT for 250 to 500 guests. For 500 to 1,000 guests, expect around €150 to €400+ per person. For 1,000 to 2,000 guests, expect around €125 to €350+ per person. For more than 2,000 guests, expect around €100 to €300+ per person. All amounts excluding VAT, including venue, catering, entertainment and production.
