Online events: a deliberate strategic choice alongside live

During the COVID-19 pandemic, online events were born out of necessity. Now they are a deliberate strategic choice. Not a replacement for live events, but an addition or a hybrid combination of both worlds.

An online event offers advantages physical events do not have: no travel time, lower costs, a larger reach and the ability to reuse content afterwards. But it also asks for a fundamentally different approach. What works live, seldom works digitally.

At Live Impact we organise online and hybrid events with the same care as our live events. The difference? We think from the screen, not from the room. Because a successful digital event is not a livestream of a presentation; it is an interactive experience that truly engages participants.

Online, hybrid or live: which set-up fits your event?

The choice between online, hybrid or live depends on your objective and audience:

Fully online is ideal for knowledge sharing (conferences, webinars), international participants or large groups where physically gathering is logistically difficult.

Hybrid is a physical event with an online component. Participants choose how to take part. It works well for kick-offs across multiple locations or events with both an internal and external audience.

Live is the choice for events where in-person contact is essential, such as staff parties, galas and client events.

Most organisations today choose a mix: some moments live, others digital. Live Impact helps you find the right balance.

The technical foundation of an online event

A professional online event asks for more than a Zoom link. The technical foundation must be flawless:

Platform: choose a platform that fits your set-up. A webinar needs different functionality from an interactive workshop or a multi-day conference.

Image quality: invest in good cameras, lighting and backdrop. Poor visuals are the fastest way to lose participants.

Sound: it matters even more than image. A professional microphone and sound direction are essential.

Internet connection: a stable, wired connection is non-negotiable. No Wi-Fi, no risk.

Direction: bring in a professional director who switches between cameras, presentations and interactive elements.

Live Impact works with professional production crews. We treat online events like a television production, including a director, sound engineer and vision mixer.

Building engagement at an online event

The biggest risk at an online event is passive participants who are checking their email on the side. The key to success is active engagement:

Interaction: polls, Q&A rounds, breakout sessions, chat and quizzes keep participants sharp.

Variety: switch format every 10 to 15 minutes. Combine presentations with videos, panel discussions and interactive moments.

Duration: online is more tiring than live. Keep sessions short (45 minutes maximum) with breaks in between.

Entertainment: entertainment is possible online too: a digital magician, a live musician or a humorous host.

Personal element: send participants a package in advance (a snack, a small gift, a drink) so they physically share something during the digital event.

Hybrid events: the best of both worlds

The hybrid model is the future of many corporate events. The physical participants experience the energy of a live event, while online participants take part without travel time. But organising hybrid is more complex than it looks:

Designing two experiences: the online audience must not get the feeling they are watching a livestream. They deserve their own experience, tailored to them.

Technical integration: questions and interaction from online participants must be smoothly integrated into the live programme.

Training presenters: speakers must learn to address both the room and the camera.

Two production crews: there is a crew for the room and a crew for the stream, orchestrated by one director who coordinates both.

Live Impact has experience with both fully online and hybrid events, and ensures both audiences get an equivalent experience.

What does organising an online event cost?

Online events are usually cheaper than live events, but the costs depend strongly on the level of ambition:

Basic webinar: this is a presentation with Q&A via a standard platform, with low costs but limited impact.

Professional online event: this is a studio production with multiple cameras, direction, interactive elements and a host, comparable to a small television production.

Hybrid event: this is the combination of a physical venue with an online component. The costs are higher because you have to deliver two audience experiences in parallel.

Savings versus live: no venue costs, no catering, no travel costs for participants. But invest the difference in production quality. That is what makes the difference between a dull stream and a memorable digital event.

Frequently asked questions

Can Live Impact provide a hybrid kick-off?

Yes. Live Impact organises hybrid kick-offs with a professional studio setup, a technical team for the online connection, and a host who takes both groups along.

Hybrid events are more complex, but when they're done well, you get the best of both worlds.

How do you make an online kick-off interactive?

Make an online kick-off interactive through: live polls (Mentimeter/Slido), breakout groups, live Q&A, a quiz, or a digital whiteboard (Mural/MIRO).

The golden rule: a moment of interaction every 10 to 15 minutes. More than 20 minutes of only watching and listening = mentally dropping off.

Which platform do you use for an online kick-off?

For small groups (up to 200): Teams or Zoom. For larger groups with professional production: Hopin or Airmeet. For a high-quality experience in your own brand identity: a bespoke studio setup.

The platform is a means, not the end. The choice depends on your objective and budget.

What is the difference between a live and online kick-off?

A live kick-off gives more energy and informal connection. An online kick-off is more accessible and cheaper, ideal for distributed teams. A hybrid kick-off combines the best of both, but requires extra production attention for the online participants.
