Why the end-of-year party is special

The end-of-year party stands apart from the regular staff party. A staff party can happen at any time, with all kinds of goals. The end-of-year party is tied specifically to closing out a year. This is the moment to reflect on what the team pulled off and to thank everyone who took part.

That gives the end-of-year party a particular charge. There's an emotional element that other events lack. It's a moment of looking back and looking ahead, right in the warmth of the festive season. Organisations that use this moment well strengthen the bond with their team in a way that carries on for months.

The end-of-year party is strategically important too. After a year of hard work, you can voice appreciation and celebrate successes. That sends the team into the new year motivated.

Timing and planning in Q4

Planning an end-of-year party is more challenging than most organisations think. For many companies, Q4 is the busiest period of the year. December is packed with holidays, school activities and other commitments.

When to plan? The first two weeks of December are the most popular. Start planning in January if you want a venue that's actually available. Popular venues are fully booked by November. Which day? Thursday and Friday evenings are the most common. A weekday evening keeps the weekend free for families.

Ideally, start your preparation 3 to 4 months ahead. That gives you time for a strong concept and the right venue. You can also put the programme together at a calm pace. The earlier you start, the more choice you have.

Winter themes and atmosphere for your end-of-year party

The season is your greatest ally at an end-of-year party. Winter offers a unique palette of moods. Think of a warm, small-scale Christmas dinner or a spectacular winter festival, a stylish gala evening or a cosy Scandinavian hygge party.

Popular winter themes: Winter Wonderland (snow, ice, white decor). Christmas-market style (stalls, mulled wine, cosiness). Golden Gala (stylish, glamorous, dress code). Après-ski (casual, warm, fondue). Masquerade Ball (mysterious, elegant, masks).

The theme determines everything: the venue choice, the styling, the menu, the dress code and the entertainment. A strong theme creates coherence and makes the party unforgettable. At Live Impact we always develop a bespoke concept that fits your organisation.

The menu: from Christmas dinner to winter buffet

Food plays a leading role at the end-of-year party. The season lends itself perfectly to rich flavours: game, truffle, pumpkin, warming dishes, spices. Whether you choose a seated Christmas dinner, a walking buffet or food stations, the catering has to be right.

A seated dinner is more formal and encourages conversation at the table. A buffet or food stations offer more freedom and suit larger groups. Increasingly popular: open cooking stations where guests watch their dish being prepared fresh.

Don't forget the drinks. Start with mulled wine on arrival and raise a champagne toast during the speech. Keep a good cocktail bar going all evening, too. And think about dietary needs: vegetarian, vegan, allergy-friendly. With a large team, diversity on the menu is essential.

What does an end-of-year party cost?

An end-of-year or Christmas party costs roughly €250 to €350+ per person excluding VAT for 250 to 500 guests. For 500 to 1,000 guests, expect roughly €225 to €325+ per person. For 1,000 to 2,000 guests, roughly €200 to €300+ per person. Above 2,000 guests, roughly €150 to €200+ per person. All amounts excluding VAT.

In December, many venues and suppliers charge a peak-period surcharge. Book early: the best venues are full by June.

The year's close: combining substance and emotion

The end-of-year party is more than a party. It's the organisation's moment to close out the year. That calls for a moment of substance: a look back at the highlights and a word of appreciation. And, of course, a look ahead to the new year.

Keep speeches short and punchy. Pair words with visuals: a recap film of the year, photos of team activities, figures to be proud of. And make it personal: name the teams, projects and individuals who made the difference.

The finest end-of-year party combines emotion with celebration. A moment of reflection, followed by a night of celebrating. That build-up is the difference between a nice party and a night that stays with people.

Does a Christmas drinks event fall under the WKR?

Yes. A Christmas drinks event falls under the work-related costs scheme (WKR). In 2026 the free allowance is 1.7% of the total payroll. A Christmas drinks event for staff falls under it, as do other staff events. Note: if you've already held events earlier in the year, the free allowance may already be used up.

When should you book a venue for Christmas drinks?

As early as possible, preferably in August or September. November and December are the busiest months for venues in the Netherlands. The best places are already fully booked for the Christmas period in October. Whoever still calls in November gets what's left.
