Dark wood tones. Copper-coloured fittings. Warm amber light.

Every element in your decoration plan should trace back to the concept. Ask yourself the questions behind each choice: why this colour, why this type of flower, why this layout? Decoration that doesn't work from a concept feels random, even if the elements are lovely in their own right.

Let the decoration concept match the identity of the organisation. A tech start-up and a law firm have a different taste and a different audience. A start-up communicates informally, boldly, colourfully. A law firm communicates stylishly, with restraint, precisely. The styling has to reflect that.

The layers of styling: from light to detail

Styling is made up of layers. The more layers you fill in deliberately, the richer the experience. These are the most important layers for corporate events.

Light is the most powerful layer. Light shapes the atmosphere of a space more than any other element. Warm amber light makes a room warm and welcoming. Cool blue-white light makes it formal and businesslike. Coloured washes of light on walls or ceiling transform a neutral venue completely. Don't forget the practical lights either: the bar well lit, the entrance bright, the stage sharply lit.

Floral decoration is the most visible layer. A few eye-catchers in strategic spots do more than lots of small pieces everywhere. Think of the entrance, the lectern and the tables. Choose seasonal flowers. They're more beautiful, fresher and more affordable.

Furniture and props: hire furniture can make a space feel completely different. Coffee tables, sofas or poseur tables with the right finish give more character than the standard venue furniture. Props, think of old suitcases, large wooden letters, big vases, add dimension to a backdrop or photo wall.

Table presentation: table decoration is close-up and personal. Table runners, placemats, napkin rings, name cards in a beautiful font, every detail counts on the table. Guests are sitting right up against it and really do see it.

Venue transformation: from empty to complete

Not every venue is atmospheric in itself. Sometimes you hire an exhibition hall, an office space or a white box that has to be styled from scratch. That sounds challenging, but it also offers the most freedom.

Start with the volumes. A high hall has different decoration needs than a low room. In a high space you work vertically: large installations on the ceiling, hanging floral constructions, light fabric banners, large drapes. In a low space you work horizontally: wide tableaus, low floral arrangements, wall decoration.

Use zones to structure a large space. Reception zone, dinner zone, lounge zone, stage zone. Each with its own styling that suits its function. Guests move from atmosphere to atmosphere, which is enriching on a subconscious level.

Also keep the practical conditions in mind. Ask the venue about ceiling fixings, clearance height for lorries and available set-up times. Many venues allow decoration up to a certain height but have restrictions on drilling, sticking or rigging. Always check this before your decoration plan is final.

Budget and priorities: what do you go for?

A decoration budget is never endless. The question isn't how much you spend, but on what. Decoration gives a direct return on atmosphere, but that isn't true of every element to the same degree.

The most visible impact sits in light, the entrance and the tables. Light transforms the most for the money. The entrance sets the first impression. Guests look at the tables up close all evening. If you have to choose, invest here.

Other elements have little visible impact. Think of background structures nobody notices, or decoration in rooms that are only in use briefly. Or filler in spots where guests rarely go.

For a solid decoration package for 200 guests, reckon on €5,000 to €15,000. The exact amount depends on the scale, the type of flowers and whether you hire furniture. Large-scale transformations for big galas start at €20,000 and can run well above that.
